HubSpot Email Tracking: Opens, Clicks, Logging and Their Limits

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

HubSpot email tracking can help you notice possible engagement and organise follow-up, but it cannot prove that somebody read, understood or approved your message. Use it as a supporting signal alongside replies, meetings and the next step you agreed with the recipient.

The most useful starting point is to separate tracking from logging, then distinguish individual sales emails from marketing campaigns. Those choices determine what information you collect and how you should interpret it.

Tracking and logging do different jobs

HubSpot’s sales email tracking documentation separates these functions:

Option What it does Useful purpose
Log Saves a copy of the email to CRM records Maintain a shared conversation history
Track Collects supported open and click activity Notice possible engagement
Both Combines the separate functions Review correspondence alongside available activity

Tracking alone does not save the email copy to the contact record. For a small team, a dependable correspondence history may be more useful than a stream of open notifications: a colleague can see what was promised before replying.

Decide which records should contain the correspondence and who needs access. A tidy history should help the next person understand the customer’s situation. It should not become a reason to copy every internal or unrelated message into the CRM.

What an email open actually means

For sales email, HubSpot detects opens using an invisible image. If that image is blocked, a later click or reply can create an inferred first open at that event’s time. Shared or forwarded messages can also obscure who opened them. See the official tracking limitations.

Mail software adds another complication. Apple’s Mail Privacy Protection downloads remote content in the background regardless of whether the recipient engages with the email. That breaks any simple assumption that an image request equals a deliberate read.

Consequently, avoid translating “opened” into “interested” or “no open recorded” into “ignored us”. Both interpretations claim more than the evidence supports. A person may be interested but busy, or may have read the message without generating the expected signal.

Repeated opens deserve the same restraint. They are not a count of decision-makers reviewing a proposal, and they do not reveal the recipient’s budget, urgency or opinion. Write down the business question you need answered instead of trying to extract that answer from an activity counter.

Click tracking has plan and format requirements

One-to-one click tracking requires Sales Hub Starter, Professional or Enterprise and the appropriate assigned access. Under the current seat model, Starter uses Core Seats; specialist Sales Seats apply to Professional and Enterprise. Legacy accounts can differ.

The sales tracking rules require linked text such as “View proposal”. A displayed URL is not tracked, even if hyperlinked, and plain-text sales emails do not support click tracking.

Before upgrading, identify the decision click data would change. If your process already depends on a booked review call, more detailed activity may add little. If a salesperson regularly sends several relevant resources, knowing which one attracted activity might help prepare a better next conversation. That is a practical use case to evaluate, rather than a reason to buy a seat simply because more statistics are available.

Clicks still do not establish agreement. Opening a pricing document and accepting a price are separate actions. Keep commercial decisions tied to explicit responses and your normal approval process.

Marketing email tracking is a separate setup

For campaigns, HubSpot provides account controls for opens, HTML clicks, plain-text clicks and identity tracking under Marketing > Email > Tracking. This differs from the plain-text limitation for individual sales messages. Its marketing tracking guide describes the permissions and available settings.

The same guide warns that a forwarded marketing email can attribute the subsequent recipient’s click to the original contact. Disabling account-level open tracking also does not mean HubSpot stops all anonymous tracking used for network health.

For campaign reviews, use a consistent definition of success. A useful report might connect a newsletter to completed enquiries or event registrations, with email activity as supporting context. Avoid comparing two campaigns’ open rates as though they perfectly measure how many humans read them.

Our email marketing software comparison covers the broader platform choice. If the message itself is the weak point, improving the offer and writing clearer email copy is usually more actionable than adding another dashboard.

A sensible follow-up workflow

Illustrative example: a consultant sends a proposal after a discovery call. The prospect agreed to discuss it on Thursday. On Tuesday, HubSpot shows several opens but no reply.

The useful action is to prepare for Thursday: review the questions raised during discovery and check that the proposal addresses them. The activity is not a reason to send “I saw you looking at this” or assume the deal is about to close. That would turn an uncertain technical signal into an unnecessarily personal claim.

If Thursday passes without contact, follow up on the agreed conversation. Ask whether the project is still a priority and offer a clear next step. If the prospect replies with a changed timeline, update the CRM and work from that direct evidence.

For a team, agree a small set of operating rules:

  • Use replies and confirmed meetings to update the next action.
  • Use activity to prepare relevant questions, without asserting what the recipient did.
  • Review stalled opportunities on a schedule rather than reacting to every notification.
  • Assess results using useful conversations and completed outcomes, not open counts alone.

Test and control what your account records

Run a controlled check with a colleague who knows the purpose. Send a clearly labelled test, verify the CRM copy separately from tracking activity, and confirm the link format if your seat includes click tracking. Record what happened rather than expecting every mail app to behave identically.

Account administrators can disable one-to-one tracking under Data Management > Objects > Activities > Email Log and Track Settings. Attachment logging has a separate control. HubSpot notes that disabling that attachment setting does not stop attachments sent from CRM records or sequences being logged. Consult its tracking and attachment controls guide before treating either setting as a blanket exclusion.

Make the choice fit your relationship with customers and the information your team needs. For many small businesses, accurate records, a clear follow-up date and a thoughtful reply deliver more practical value than knowing precisely when an email appeared to open.
