Microsoft Bookings Services: Set Up Staff and Availability

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

Set up Microsoft Bookings services around the appointment your customer needs, then check who can deliver it and when. A service with the right name can still offer unsuitable times if staff calendars, working hours or booking rules are wrong.

A calendar, clock and customer cards for appointment scheduling

This guide covers services on a Shared Bookings page. Personal booking pages use meeting types instead. Microsoft’s Bookings overview explains the distinction. For help choosing the platform first, see our Calendly versus Microsoft Bookings comparison.

Check access before creating a service

Microsoft lists Business Basic, Business Standard and Business Premium among the eligible subscriptions. Its FAQ says Outlook on the web must be enabled; administrators can also restrict Bookings access. Confirm the account’s entitlement and organisation settings before buying another subscription.

The service creation instructions require the administrator staff role. Being able to manage appointments does not necessarily let someone configure services. Microsoft’s role guide gives Schedulers read-only access to services and settings, while Team members manage their own bookings and availability. Choose an owner who can maintain the setup.

Create one clearly described appointment

Open the intended shared booking page, choose Services → Add new service, and enter its name, description, location and duration. Microsoft’s service setup guide also covers online meetings, customer information and notification settings. Save the service after reviewing each section.

Use a name customers recognise, such as “Initial project consultation”, rather than an internal department code. State who the appointment is for and what they should prepare. Keep the promise achievable within the selected duration; an introductory conversation and a detailed project review may need different services.

While configuring it, turn off its publishing option to keep it off the self-service page. Microsoft says hiding a service does not delete it or alter existing bookings. Record those existing appointments before changing an established service.

Decide whether one or several staff must attend

Under staff assignment, choosing any selected staff schedules one person; choosing all selected staff schedules the whole selected group. Microsoft’s service types guide also separates customer capacity from staff assignment. Leave customer capacity at one for an individual consultation.

For a meeting requiring multiple staff, everyone assigned must be available. Selecting every consultant can therefore remove otherwise useful slots. Assign only the people the appointment actually requires. If any qualified consultant can handle it, use the single-person allocation instead.

Check staff hours and calendar conflicts separately

On the shared page’s Staff section, add or review each person. Microsoft’s staff availability instructions let you retain business hours or disable that option and enter individual hours. A day with no availability entered is unavailable. Use this for part-time patterns and regular breaks.

The separate calendar-conflict setting should remain enabled when Microsoft 365 calendar events must block bookings. Microsoft’s staff setup guide recommends this. It also warns that staff outside your organisation’s tenant cannot share their free/busy information with Bookings. Receiving appointment emails does not establish that their other commitments are checked.

Ask each host to identify where their genuine commitments are recorded. Before advertising appointments with an external colleague, agree how conflicts will be prevented and checked. An email address alone is an incomplete scheduling process.

Set service hours and allow enough total time

Microsoft’s availability guide offers staff-based availability, an unavailable state and custom weekly hours. Date-range exceptions override the service’s general availability. Use a dated closure for a temporary interruption instead of silently rewriting the normal weekly pattern.

The same guide explains that before-and-after buffers require enough space for the appointment plus those allowances. Customers cannot change the buffers. Illustrative calculation: a 30-minute consultation with ten minutes before and ten after needs a 50-minute free block. A 10:00 meeting needs the host available from 09:50 to 10:40.

Do not assume another scheduler handles these gaps identically. Our Calendly buffer guide covers that product’s separate rules if your team uses both.

Review notice, booking horizon and time zones

Booking-page policies apply to services unless overridden individually. Start-time increments control the spacing of offered starts, not meeting length. Minimum notice governs how far ahead customers must book or cancel and counts ordinary elapsed hours, not working hours. The maximum advance window limits how far into the future appointments are offered.

For example, needing the previous working day to prepare is a different requirement from needing 24 elapsed hours. Write the operational requirement first, then inspect the slots offered around weekends and closures. Record service-specific exceptions so another administrator can understand them.

Microsoft’s time-zone explanation says business and staff hours use the business time zone. The public page can show the visitor’s local zone unless configured to always use the business zone. Confirm the zone displayed before comparing a missing slot with a host’s calendar.

Rehearse a consultation before sharing the link

Illustrative workflow: a small consultancy offers one customer a 30-minute introductory call with one available adviser. Use controlled contact details and clearly labelled trial appointments. The following are suggested acceptance checks, not results from testing we performed.

Checks for the consultation service
Scenario Check
One adviser has a conflicting calendar event That adviser is not offered for the conflicting time.
A slot leaves insufficient preparation time The appointment is unavailable when its full buffer cannot fit.
A customer books from another time zone The chosen instant agrees across the page, confirmation and calendar.
A customer changes the appointment The correct people receive clear updated details.

Note expected and observed results, resolve discrepancies and remove trial appointments afterwards. Have someone unfamiliar with the setup read the description and confirmation. Share the link once the service matches the working arrangement, and assign responsibility for reviewing it when staffing or opening hours change.
