Pipedrive Activities: Plan Follow-ups and Track Completion

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

Use Pipedrive activities to give each sales follow-up an owner, a date and a clear purpose. Start with a routine colleagues can maintain.

Check the tools your plan includes

Pipedrive’s current plan comparison includes activity management, calendar view and Google/Microsoft calendar sync on Lite and above. Email sync, meeting scheduling links and automations start at Growth. You can establish a manual follow-up routine before paying for those additional functions.

For mailbox setup and shared correspondence, use our Pipedrive email sync guide. Connecting a calendar and connecting an inbox are separate configuration decisions.

Create the next action against the right deal

Open the deal and its activity tab, then choose an activity type, responsible owner, date and duration. Pipedrive’s activity instructions explain the available fields and links. Give the action a specific name, such as “Confirm revised proposal scope”, rather than “Follow up”. Link it to the relevant opportunity so someone covering an absence can find the context.

Before adding guests, check the same guide’s visibility rules. Notes stay within Pipedrive; descriptions sync to the external calendar and are visible to invited guests. Active calendar sync is required for invitations. Activities default to Free; setting one to Busy blocks that time through scheduler links. Keep internal negotiation notes out of the guest-facing description.

Use a few meaningful activity types

A global admin can create a custom activity type under Settings → Company settings → Activities. Add a type, choose its name and icon, then save. The dedicated setup guide specifies global admin access; ask your administrator if the control is unavailable.

Our recommendation is to add a type only when it changes how work is planned or reviewed. A site survey may deserve its own category. Separate labels for every variation of a phone call can make the list harder to interpret. Agree a short definition before colleagues start using a new type.

Plan a realistic day in calendar view

Open Activities and choose the calendar button. Pipedrive’s calendar guide explains that this view shows one user’s calendar at a time. You can add an activity at a chosen time or drag an existing one to change its scheduled date and time. Check the selected owner and activity-type filters before interpreting an apparently empty day.

Illustrative example: a two-person supplier needs to clarify a customer’s requirements and prepare a quotation. Book the clarification call first and leave working time afterwards for the quotation. If the call moves, review the quotation deadline as a separate decision. Do not pack the day with appointments that leave no time to do the promised work.

Choose calendar sync behaviour deliberately

Under Personal preferences → Calendar sync, connect the intended calendar and choose a direction. Pipedrive’s sync documentation makes these distinctions:

  • Two-way: new external events can become Pipedrive activities, and edits move between linked items.
  • One-way: new external events do not become activities. However, editing an external event already linked to a Pipedrive activity still updates that activity.
  • Ownership: each user’s connection syncs only that user’s activities.

Select which activity types should appear externally and review incoming-event privacy. Pipedrive can show a private event as an unidentified block, or skip it; if skipped, block the time yourself where needed. Recurring activities cannot be created directly in Pipedrive, and recurring events imported from a calendar cannot be edited there. Manage those series with the calendar provider.

Start the day with a manageable work list

Use the activity list filters to select an owner, relevant activity types and a due-date period. The Everyone option still respects visibility restrictions. A colleague needs access to every linked record to see its activity; a wider owner filter does not override permissions.

Review overdue work before adding more. For each item, decide whether to complete the action, arrange a realistic new date or close out work that is no longer needed. Agree who covers an absent colleague and confirm they can see the required records. A queue that nobody owns will remain a queue.

Record what happened before completing the activity

Admins can configure activity fields under Company settings → Data fields → Activity. The activity-field guide allows an outcome, a note or both to be required before completion, including quick completion actions in the web app. Use that capability to capture a useful result, such as a customer’s unanswered question.

These activity settings differ from the deal information covered in our Pipedrive custom fields guide. Keep the outcome of a conversation with the activity and the enduring commercial requirement on the appropriate record.

Keep scheduled and completed dates distinct

Pipedrive’s completion-date guidance says calendar placement follows the scheduled due date. To inspect actual completion, add the Marked as done time column through the activity list’s column settings. That timestamp is not available in the activity detail view.

For example, a Tuesday appointment completed on Wednesday should not be interpreted as Tuesday’s completed work merely because its calendar position remains there. Review the appropriate date when assessing workload. Avoid marking unfinished items complete just to clear an overdue list.

Check the connection with harmless sample records

Before rollout, rehearse these illustrative checks: create a future activity, confirm it appears in the selected external calendar, change its time and inspect the linked record. With two-way sync, also create a new external event. These are suggested checks, not reported test results.

If something is missing, follow Pipedrive’s calendar troubleshooting guide: inspect the selected calendar, direction, activity-type mapping, filters and connection permissions. Use a newly created future item for the check. Record the affected owner and the precise discrepancy before reconnecting or escalating the issue.
