A CRM with email marketing should connect your campaigns to the work that follows. The useful result is not simply sending a newsletter from the same login as your contact database. It is knowing who owns an enquiry, which messages a person should receive, and when a salesperson needs to respond.

Our shortlist is HubSpot for a shared sales-and-marketing setup, Brevo for a business starting with campaigns and a modest sales process, and Pipedrive with Campaigns for a team whose main organising tool is its sales pipeline. Those are editorial starting points. Our startup CRM guide covers the broader CRM choice, while our email marketing software comparison starts with the campaign requirements.
Table of Contents
Separate three different email jobs
| Job | Example | What to check |
|---|---|---|
| Personal sales follow-up | A reply to an enquiry about a quote | Mailbox connection, ownership and conversation history |
| Marketing campaign | A newsletter sent to eligible subscribers | Segmentation, sending allowance and unsubscribe handling |
| Automated journey | A sequence triggered by a requested download | Triggers, exclusions, stopping conditions and plan limits |
A product advertising email synchronisation may only connect a salesperson’s mailbox. That does not establish that it includes bulk campaigns or the multi-step journey you need. Write down one example of each required job and ask the supplier to show it on the plan being quoted. For an individual mailbox, our HubSpot Gmail integration guide explains the setup and logging checks.
HubSpot: evaluate the shared customer record
HubSpot’s email marketing product page describes campaign creation and personalisation using CRM information. This is a relevant starting point when marketing and sales need to work from the same contact record. However, features and limits differ across free tools and paid editions; assess the complete configuration, not just the presence of an email editor.
A particular cost to understand is marketing-contact billing. For subscriptions using that model, HubSpot’s billing guidance explains that designated marketing contacts count towards a tier. Exceeding that tier can trigger an automatic upgrade, and changing contacts to non-marketing does not immediately undo the purchased tier.
Our view: shortlist HubSpot if the hand-off between an enquiry, a campaign and a salesperson is central to your operation. Ask for two quotes: one for today’s active users and marketing audience, and one for the next realistic stage of growth. See our HubSpot free-versus-paid guide for the distinction between users, seats and contacts.
Brevo: check sending volume and sales capacity together
Brevo’s current plan guide lists a free allowance of 300 emails per day, one user seat and automation for up to 2,000 contacts. It also lists free sales tools with 50 open deals and one sales pipeline. Unused daily emails do not carry over. Paid packages change both email and contact allowances, and Sales Essentials is a separate add-on on eligible paid plans.
Our view: evaluate Brevo if campaigns are the main job and your sales process can begin within those limits. A business with a newsletter and a small queue of enquiries may find that a useful combination. A team managing several pipelines or needing several people to edit sales records should price the required sales package and user access before deciding.
Do not turn 300 daily sends into a claim that you can deliver a 9,000-person campaign at once. For example, one message to 600 recipients already exceeds a 300-send daily allowance. The timing of a campaign can matter as much as its monthly total.
Pipedrive: a sales pipeline with a campaign add-on
Pipedrive’s pricing guidance lists Campaigns as an add-on across Lite, Growth, Premium and Ultimate. It is therefore something to include in the purchase decision rather than assume is covered by the CRM’s base price.
Our view: put it on the shortlist when a team already thinks in terms of deals, owners and next activities. The evaluation should prove how a campaign response becomes useful information for the right salesperson. Check the campaign allowance, any subscriber-based limits and which automated hand-offs require a particular CRM edition.
If your existing CRM already works well, compare adding an email tool with replacing the whole system. A new platform is not automatically better value once migration, retraining and lost historical context are included.
Define the hand-off with sample contacts
Before importing a real database, create a small set of fictional records: a newsletter subscriber, an active prospect, an existing customer, a person who has opted out and a duplicate entry. Build a segment for a specific message and check who would be included. Then change the status of one record and inspect the result.
Next, simulate a reply and an unsubscribe. Check whether the salesperson can see what happened, whether the right owner is assigned and whether future marketing stops where it should. A process that requires regular spreadsheet exports may still be acceptable for a small team, but that manual work belongs in the cost comparison.
For two connected products, establish which one is the authoritative record for email preferences and contact details. Test the direction of synchronisation and what happens when the same field is edited in both systems. An integration badge alone does not answer those questions.
UK email rules still apply to a combined platform
The ICO’s business-to-business marketing guidance distinguishes corporate subscribers from individual subscribers such as sole traders, and explains that data-protection duties can still apply to personal information used in business marketing. Do not assume every business-looking email address can be treated in the same way.
Record the source of contacts and the applicable marketing preferences, provide the required way to opt out, and keep exclusions usable across connected systems. Review the relevant guidance for your actual audience before sending. Buying a CRM does not itself establish permission to market to a list.
Choose using a complete monthly scenario
Prepare one realistic quote request: number of active users, stored contacts, marketing recipients, campaigns, automated messages and open deals. Include seasonal peaks, onboarding, paid connectors, taxes and renewal terms. Avoid treating a temporary dollar promotion as a confirmed UK price.
Choose the option that handles your most important hand-off clearly and remains affordable at the next stage. Start with one well-defined campaign and one follow-up process. Expand once the team can show that the right people receive the right messages and enquiries consistently reach an accountable owner.
