Merge contacts in HubSpot from the intended primary record using Actions → Merge. Check identity and retained values first: the operation cannot be undone.

This guide covers duplicate records already in your CRM. A useful merge leaves colleagues with one understandable customer history, the correct contact details and a clear next action. Reducing the contact count is not enough.

First confirm that the contacts are duplicates
Compare more than names. Check email addresses, recent conversations, employer history and the context behind each record. Two people at one company can share a surname or a reception number. A shared inbox may represent a team rather than the individual whose name appears on an old import.
For an illustrative consultancy example, Maya Patel has an older record from a completed engagement and a newer record used for a current enquiry. The consultant confirms from their correspondence that both refer to Maya. That confirmation matters more than either record looking fuller.
If the relationship remains uncertain, leave the records separate and record the question for their owner. Do not turn a guess into a permanent combined history.
Individual merging is available across HubSpot plans with Merge records or Super Admin permission. The separate duplicates manager requires Professional or Enterprise; bulk duplicate management requires Data Hub Professional or Enterprise. A paid matching tool still produces candidates that need judgement.
Keep a useful record of what exists before merging
Save the two Record IDs and write down the values you expect to retain. Include the intended main email, owner, important custom fields and relevant company or deal links. Keep a short reason for the decision, such as “same person confirmed in current correspondence”.
A record export captures current properties and associations; check the export options rather than assuming every field is included. It is not an export of the complete activity timeline.
If you need a more detailed reference, HubSpot’s individual contact export offers property history and optional activities, associations and custom-property history. Select what you need and inspect the resulting files. Some values can be redacted. Treat these as review material, not a one-click restoration package.
For a small cleanup, keep one decision row per proposed pair. Recording the two IDs, reviewer, chosen primary and unresolved questions makes it easier to stop midway and resume without repeating decisions.
Choose the primary contact deliberately
In Maya’s example, the newer record has the confirmed current work address and responsible consultant. The older one contains useful engagement context but an outdated job title. The proposed choice is the newer record as primary, followed by an explicit review of the conflicting values.
| Review item | Question to resolve | Suggested evidence |
|---|---|---|
| Main email | Which address should be used now? | Current correspondence |
| Owner | Who handles the next conversation? | Agreed team responsibility |
| Job title and company | Which information is current? | Confirmed employment details |
| Engagement history | Which work and conversations must remain easy to find? | Named deal and recent notes |
Email choice affects more than the contact card. HubSpot uses the primary address for marketing emails and for its Email property in filters, reports and workflows. Salesforce-connected accounts also sync against the primary address. See the multiple-email rules before changing an established address.
If either contact participates in a connected sales process, ask its owner to check the intended outcome first. A locally tidy record is not a good result if another system will recreate the duplicate tomorrow.
The secondary contact is unenrolled from workflows; review its unfinished actions before merging. See HubSpot’s merge guidance.
Review the merge and its exceptions
From CRM → Contacts, open your primary record and select Actions → Merge. Choose the secondary contact. Set properties to review controls which fields appear; select retained values in the merge dialog. Check the pair, then confirm Merge. See the documented merge controls.
HubSpot’s default rules deserve a final check:
- Primary property values generally win; blank primary fields use secondary values.
- Activities and associations combine, with the primary record’s primary company label prioritised.
- A new Record ID is created.
- The primary email stays primary; the other becomes additional.
- The furthest lifecycle stage in the funnel is retained.
- If either contact is Marketing, the merged contact is Marketing.
See HubSpot’s contact merge exceptions. Activity syncing can take up to 30 minutes.
Check the result before processing another pair
Compare the result with your notes: email, owner, next action, company and deal links. Find a recognisable conversation from each original. Record the resulting ID alongside the original pair.
If a field looks wrong, use its Details panel to review previous values, change sources and timestamps, following HubSpot’s property-history guide. Diagnose the particular value before making further changes.
Check automation separately. HubSpot’s workflow enrollment settings make entry caused by a merge an explicit option; it is off by default. Do not assume the resulting contact will enter a workflow simply because its combined data matches. Review active workflow history and pending actions with the workflow owner before and after the merge.
For ongoing email conversations, our HubSpot Gmail integration guide helps you check the logging setup. If engagement context is difficult to find even after cleanup, revisit the record structure in our CRM guide for consultants.
Address the reason the duplicate appeared
HubSpot’s automatic deduplication uses contact email addresses. An import with no email or other unique identifier can create new records. Matching during import and merging two established records are different jobs.
Review the source of Maya’s second record: a manual addition, an old spreadsheet or a connected app. Agree who maintains the current details and how colleagues check for an existing contact. Finish with one reviewed pair and a corrected process before tackling a larger cleanup.
