Calendly Round Robin: Share Bookings Between Your Team

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

Calendly round robin assigns a booking to an available member of a host pool. Choose the allocation method around the service you promise, then check the complete booking and handover.

Choose the right team meeting format

Round Robin rotates meetings between hosts. Collective instead finds a time when all required hosts can attend; Group lets one host meet several invitees. Multi-host events require each host to have a paid Calendly seat, while invitees do not need accounts or seats. Shared events offer a flexible setup; team events are administered through team pages. Team scheduling options.

Illustrative example: a consultancy has three advisers offering introductory calls. Any one can handle a new enquiry, so a pooled booking link makes sense. A detailed project review needing both an adviser and a technical specialist is a different promise. Decide the required participants before choosing the format.

Decide whether access or balance matters most

Maximize for availability offers times when any host is free. When several are available, priority stars help choose the host. Optimize for equal distribution balances meeting counts, which can hide an ahead-of-others host and reduce the offered times. Adding or removing a host resets everyone’s meeting count. Distribution behaviour.

For the introductory calls, wider availability may suit a team focused on quick access. Equal distribution may suit a team sharing similar work. These are workflow choices, not promises of more leads or an exactly equal workload: call complexity and follow-up effort still differ. Agree what a reasonable allocation looks like before changing the setting.

Build a shared event with the correct hosts

The shared Round Robin setup is available on Teams, Teams Plus and Enterprise. Hosts must first accept the invitation to your Calendly organization. From Scheduling → + Create → Round robin, name the event and set its duration. Open the host pool, add teammates and choose its distribution method. Then configure rescheduling, location and availability before creating the event. Shared event setup.

Write down the pool’s purpose, the participating advisers and the promised call length. Include only people who can deliver that appointment. Adding a colleague merely to expose more times creates a service problem if they cannot answer the enquiry. Our Calendly buffers guide covers the separate gap needed between appointments.

Check every host’s calendar connection

Calendly connects to Google Calendar, Office 365 or Outlook.com, and Exchange. Paid plans can connect up to six calendars per user. Select the calendars checked for conflicts and the calendar receiving new bookings; those are separate decisions. A connected calendar lets Calendly check busy times and add meetings, so review the settings for each host. Calendar connection instructions.

An adviser who uses a second calendar for client visits should confirm whether it is included in conflict checks. In the rehearsal, deliberately compare an apparently free time with the host’s actual calendar. Do not clear genuine busy appointments to make a pooled link appear more available.

Make the meeting location usable for anyone allocated

Each round-robin host can have a location, and each must connect their own video-conferencing integration. The built-in outbound-call option is unsupported for round robin; Calendly documents a custom-location and required-phone-question workaround. Hosts normally set their locations in advance rather than letting invitees choose. A location-choice workaround needs a manual invitation update after booking. Location options and limitations.

For the consultancy, a consistent video-call promise is easier to explain than an undocumented mixture of phone and video. Check the assigned adviser’s joining details in the resulting invitation. A message saying “video call” is incomplete if nobody receives a usable meeting link.

Set the rescheduling handover deliberately

Rescheduled Round Robin meetings reassign through the distribution rules by default. In the event’s Hosts section, use Rescheduling preferences to retain the original host if continuity matters. Rescheduling rules.

A new introductory call may reasonably move to another adviser. A returning client discussing confidential project details may need continuity. Decide who reads the previous notes and tells the client about a changed host. Our Calendly Workflows guide covers reminders and follow-up messages as a separate part of that journey.

Rehearse and investigate specific missing times

Open the event’s preview and select Troubleshoot. Choose a missing date and time, then inspect the reported reason before changing availability. Calendly’s tool distinguishes causes such as calendar conflicts, limits and event settings. Record the specific code and affected host rather than changing several controls at once. Availability troubleshooting.

Use a harmless sample booking to check the allocated host, duration, location and calendar entry. Reschedule it and check whether the host is retained or reassigned as intended. Cancel the sample and remove any practice notes. Revisit the pool after someone joins, leaves or changes working hours; a previously checked booking link is not evidence that today’s staffing still supports the promise.
