Calendly Workflows: Set Up Reminders and Follow-ups

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

Start Calendly Workflows with one useful reminder for one appointment type. Decide what the customer needs to know, when they need it and who will handle a reply. Add a follow-up only when its message makes sense for the meeting outcome.

A calendar, clock and customer cards for appointment scheduling

Workflows may now appear as Automations. Calendly’s navigation update renames the feature during a rollout to eligible accounts. Existing settings remain in place. This guide uses both names so you can recognise the feature in your account.

Check access and the messages already being sent

Calendly’s overview lists Standard, Teams and Enterprise, their applicable Plus versions, and legacy Professional. It allows up to 50 automations per user or team across event types. Check your account’s entitlement before upgrading.

For shared administration, the admin guide distinguishes permissions by event ownership: shared-event owners can manage their shared events’ automations, while team managers can manage team-event automations. Centrally locked automations for Managed Events require Teams, Teams Plus or Enterprise and an owner or admin.

First inspect the booking confirmation. Calendly uses either a calendar invitation or an email confirmation, as its notification guide explains. Read that message alongside any proposed reminder. Repeating the same instructions immediately after booking adds little value.

Create and assign the first workflow

Follow Calendly’s creation instructions for the current interface:

  1. Open Automations and choose a template, or create your own.
  2. For a custom version, choose the triggering event, its timing and the message action.
  3. Give it a recognisable name, such as “Client review: preparation email”.
  4. Select the appointment types it should apply to and confirm the selection.
  5. Edit the message, finish the action’s settings and save the automation.

Keep the initial assignment narrow. An introductory call and a returning-client review may need different preparation. Record the selected event type and a person responsible for approving changes; a clear name alone does not establish where the message will run.

Make the message useful

Use the editor’s variable picker for names and appointment details. Calendly’s customisation guide explains that these placeholders fill with booking information. It also supports email links to an external page or an event type. Avoid manually typing a customer’s appointment date into a reusable template.

For an illustrative consultancy review, the reminder could ask the client to bring their current project priorities and link to a short preparation page. Keep confidential case notes out of a general reminder. Check that the linked page opens for someone who is not signed into your organisation.

Illustrative timing choices for a client review
Message Proposed timing Purpose
Preparation email One day before Bring the right information
Follow-up email Two hours after Explain the agreed next-step process

These are starting points, not measured best times. Calendly supports triggers around bookings, meeting times, changes and attendance status; see its trigger reference. A message promising a completed proposal is unsuitable if the host still needs to write it.

Choose the sender and reply destination

For personal event types, you can send automation emails through a connected Gmail or Outlook account. Recipients’ replies then reach that inbox. Calendly’s sender instructions require selecting the account in the email action’s settings.

Only one connected sending account is supported. If both Gmail and Outlook are connected, Calendly says it uses its default notification address instead. Confirm the actual sender on a practice booking, then reply to the message and check that the right person receives it.

Consider SMS separately

Calendly’s SMS documentation says texts are unavailable during trials, require invitee opt-in and come from automatically assigned US numbers. Replies are not delivered or monitored. New accounts have restricted message customisation, and some carriers can block delivery.

Group events support texts only with 100 or fewer invitees. For a UK consultancy, start by verifying delivery to a controlled number and clearly provide another way to contact the host. Do not invite the customer to reply to a reminder text expecting a monitored conversation.

Check existing bookings and missed meetings

Changes do not retrofit older bookings: the overview says meetings booked before an update retain their previous settings. It also says invitees marked as no-shows receive only no-show automations, rather than ordinary post-meeting messages. Allow time to record attendance before your follow-up is due.

Verify the result before wider use

Calendly’s learning guide recommends a practice booking, checking timing, variables and links. It also identifies booking too close to the meeting as a possible reason a timed reminder was missed. Leave enough time for the trigger in your rehearsal.

Open the appointment type’s notification settings to inspect its assigned automations. For an individual booking, review its Timeline on the Calendar page. The activity guide explains these checks and recommends checking the recipient address and spam folder when a message is missing.

Suggested acceptance checks: compare a normal booking with one you reschedule and one you cancel. Inspect the actual message times, content and recipients; do not assume a saved workflow proves delivery. Keep a short record of the expected result and investigate differences before adding more messages.

If preparation needs protected working time, our Calendly buffers guide covers the schedule itself. If the appointment must appear in customer records, use our Calendly HubSpot integration guide. Assign someone to review the whole handover after the first few real appointments.
