Brevo Email Templates: Reuse Campaigns Without Old Details

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

A Brevo email template provides a reusable design for recurring communications. Treat it as a starting point: the person preparing each campaign still needs to verify the audience, message settings and destination links before scheduling anything.

Connected workflow blocks with an envelope, cog and completed document

Define what stays the same

Illustrative example: a consultancy sends a monthly operations newsletter. Its reusable layout has a short introduction, one practical tip, a resource link and a recognisable footer. The current month’s subject, resource and invitation to reply change each time. Write that distinction down before saving the first version.

Use clear placeholders for changing material instead of leaving last month’s finished copy in the master. Give the editor an explicit replacement checklist: issue date, main heading, resource destination and any time-limited offer. A visually consistent design can still be inaccurate if its old content survives into a new send.

Create a clearly named template

Open Marketing → Templates, create an email template and give it an internal name. Add a saved or pre-built design, or start with the drag-and-drop, simple or HTML editor. The internal name helps colleagues choose the intended starting point. Template creation.

For the consultancy, a name such as Operations newsletter — standard layout is more useful than Template 4. Keep the structure small enough that another editor can identify its purpose. Our Brevo signup forms guide covers the separate route by which readers join the audience.

Know what a campaign actually inherits

When a campaign uses a template, only its design is retained. Sender, subject, preview text and additional parameters must be configured at the campaign level. Brevo’s campaign setup also requires selecting the recipients. Campaign design and settings.

Check these fields on the actual campaign rather than relying on the master’s appearance. For the newsletter, the subject should describe this issue’s tip, not the issue used to design the template. Confirm the reply destination is maintained by someone who can respond to readers. Inspect the audience before scheduling, especially when the account contains several groups of contacts.

Save without confusing storage and activation

Brevo offers Save for an inactive template and Save & Activate for one ready to use in email communications. Saved templates are available through the template area, email-design choices and relevant automation email steps. Saving and activating templates.

Decide who owns the reusable design and who approves a particular issue. Do not interpret a template being active as approval to send a campaign to a list. If an automation already uses a template, identify that dependency before changing the common design. Keep campaign production and automation maintenance understandable to the colleagues responsible for each.

Preview with meaningful sample data

Preview & test can show the design using a selected contact’s attributes and switch between desktop and mobile. Keep the test list and its attributes current. View in inbox, which previews different email clients, is available on Starter, Standard, Professional and Enterprise. Preview tools and plan limits.

Use controlled sample contacts that reveal missing or unusually long values. Read the greeting and subject as a recipient would. Check the main action as readable text rather than relying on an image alone. Inspect where a resource link ends up, including whether it unexpectedly asks the reader to sign in.

Check test-message limitations

Brevo’s test-email guide says links in Free-plan test messages expire roughly 30 minutes after receipt. Distinguish that limitation from a broken resource URL. Sending a controlled test and scheduling the actual campaign are different steps. Test emails and Free-plan links.

Ask a colleague to review the issue’s message, current dates and destination links together. Our Brevo domain authentication guide addresses sender-domain setup, which a reusable design does not replace. These are suggested rehearsal checks, not results from testing a Brevo account.

Record the final campaign decision

Before scheduling, confirm the audience, sender, subject, preview text, current content and intended send time against the approved brief. Keep the reusable layout clean after the issue is finished. Review the master when repeated editing mistakes reveal an unclear placeholder, but avoid changing a shared design without checking who else depends on it.
