Asana vs monday.com: Which Fits a UK Small Team?

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

Choose between Asana and monday.com by examining the work your team repeats. Asana deserves a close look when you need named owners, deadlines and a consistent process across projects. monday work management deserves a close look when you want to build a shared operational board around your own fields and statuses. Both can support project work; the better choice is the one your colleagues can maintain without a permanent administrator translating it for them.

Project boards, task cards and a shared timeline

This guide compares monday work management. monday CRM, monday dev and monday service are separate products with different packages. For a wider shortlist, see our project management tools guide. If you mainly need personal or team to-do lists, our task management guide starts with a smaller problem.

A quick shortlist by working style

Which product should you evaluate first?
Situation First candidate Deciding test
A team delivers similar projects repeatedly Asana Can colleagues follow ownership, hand-offs and deadlines?
Operations tracks jobs with several custom attributes monday work management Can one clear board replace the existing spreadsheet?
Only two people need a basic starting point Evaluate both free plans Do the free views and limits support the actual process?

These are selection judgments, not measured usability scores. A team that already understands one product may reasonably favour continuity over a slightly better feature list elsewhere.

Free plans and the first paid upgrade

Asana’s current pricing page describes Personal as free for two users, with list, board and calendar views. Starter adds capabilities including timeline and Gantt views, forms, custom fields and rules. Advanced adds portfolios, goals, workload and native time tracking. A team wanting cross-project workload planning should therefore evaluate the appropriate paid edition rather than judge that need from a Personal trial.

monday’s current pricing information separates its free work management plan from paid subscriptions, which start at three users. Standard includes timeline and Gantt views; Pro adds features such as time tracking and private boards. Confirm that the product tab and chosen edition match the quote you are considering.

The practical issue for two founders is straightforward: a free plan may fit their current work, while the first paid package can include more capacity than they immediately need. Asana’s subscription guidance states that its smallest paid subscription has two seats. Compare the total bill for your actual team, not one advertised seat price from each supplier.

Build one project before comparing dashboards

Use an example that reveals coordination problems. A small agency could create a website launch with brief approval, copy, design, build, review and release. Give every task one accountable owner and an expected completion date. Add a delayed client decision and ask the team to show what is now at risk.

In Asana, start by representing the work as tasks within a project and deciding which information belongs in fields. In monday, start with a board and choose the few columns needed to run the job. Avoid copying every column from an old spreadsheet: some will describe information nobody uses.

Next, duplicate the project for a second client. Check whether the process remains understandable and whether a colleague can find their own next action without opening every item. That exercise provides more useful evidence than an attractive dashboard populated with perfect demonstration data.

Automation needs a volume estimate

monday’s automation guidance lists 250 automation actions and a separate 250 integration actions per month on Standard. Pro provides 25,000 of each. Those are action allowances, not an allowance for that many complete multi-step workflows.

Asana advertises unlimited automations on Starter, but that wording does not mean every configuration is unlimited. Its rules documentation sets a maximum of 50 rules per project and up to 20 triggers and 20 actions per custom rule. AI features have their own packaging and should be checked separately.

Estimate your normal month before choosing. As a planning example, 15 incoming jobs on each of 20 working days, with two chargeable actions per job, means 600 actions. That is arithmetic for an imagined process, not a measurement from either product. Check the supplier’s actual action-counting rules and test a small batch to see what is consumed.

Also decide who notices a failed automation. A reminder that silently stops because a limit is reached can be worse than a visible manual checklist. During evaluation, find the activity log, failure notification and person responsible for correcting the problem.

Guests, privacy and client collaboration

Write down everyone who needs access: employees, occasional managers, freelancers and clients. For each person, specify whether they must edit work, leave comments or only read a progress update. Then ask the supplier to confirm the billable role and available permissions on the exact plan.

Test with two fictional clients. Invite a separate test account to one client project and check what it can discover elsewhere. A board being easy to share is only helpful if the invitation exposes the intended information. Do not assume that a free guest can perform every action an employee can, or that an internal colleague qualifies as an external guest.

For a client-facing team, include the effort of removing access when work finishes. Someone should own that small administrative routine before the first real invitation goes out.

For client work, decide where the handover from winning the contract to delivering it happens. Our CRM for consultants guide helps separate customer follow-up from project delivery.

Compare the complete cost of adoption

Build two equivalent quotes with the same billing period and team size. Record tax treatment, currency, minimum seats, paid connectors, AI allowances and renewal terms. Add the time needed to transfer open work and train the team. A lower software bill does not save much if the implementation creates several hours of avoidable administration each week.

Run a short pilot with one real internal process, keeping sensitive client data out until access and data-handling arrangements are reviewed. Ask each colleague to record where they needed help. Choose the product that makes the next action and the state of the work clearest, at a price that still makes sense after your next hires.
