The best free CRM for a UK business is the one that covers your next few months of work without forcing an unexpected upgrade. Start with the number of people who need access, then check contacts, follow-ups and the tools you already use. Our shortlist is HubSpot for a one- or two-person team, Zoho for three people sharing customer records, and Freshsales as another three-user option to investigate.

Free CRM limits at a glance
| CRM | Free users | First limit to check |
|---|---|---|
| HubSpot | 2 | 1,000 contacts; more users or contacts need a paid product. |
| Zoho CRM | 3 | Automation, reporting and storage requirements. |
| Freshsales | 3 | Confirm Free is selected, rather than relying on the trial. |
HubSpot: consider it for one or two people
HubSpot’s free-tools documentation gives a clear ceiling: two users and 1,000 contacts, with no time limit. Its email connection supports Gmail, Google Workspace and many versions of Outlook. Free support centres on the community, Academy and knowledge base.
That makes it a sensible candidate for a founder and one colleague who need a shared starting point. It becomes less attractive as a strictly free solution if a third person needs access or your existing contact list already exceeds the allowance. Check those numbers before migration.
Upgrade trigger: more users or contacts, or a required feature that the free edition does not include. Ask for the total cost of your intended setup before treating the free account as a long-term commitment.
Zoho CRM: consider it for a three-person team
Zoho’s Free Edition supports three users and includes contact management, follow-up tasks, email templates, import/export and some workflow automation. It has no trial expiry or forced upgrade. The vendor identifies higher automation limits, advanced reporting, mass emailing and additional storage among reasons to move to paid editions.
The extra seat matters when three colleagues each need their own login. Write down the actual routine you want to automate, such as creating a follow-up task after an enquiry. Then confirm its required actions and limits in the Free account. A feature name alone does not tell you whether your particular process fits.
Upgrade trigger: a fourth user or a workflow, report or storage requirement outside the free allowance. Compare the next suitable edition before spending time customising records.
Freshsales: check the free-plan activation route
The Freshsales comparison page lists a free plan for three users. Its activation guide describes choosing Free in Plans and Billing, with email templates and Kanban views for contacts, accounts and deals.
However, the main pricing page promotes a 21-day trial and paid plans. Do not assume the trial will automatically become Free: confirm the selected plan and its available features before importing your customer database.
Upgrade trigger: more than three users or functionality beyond Free. The paid pricing page lists basic workflows under Growth and sales sequences under Pro. If automated follow-ups are your main reason for adopting a CRM, establish the required tier first.
Check integrations and your exit route
Before moving everything, create ten fictional contacts and run one complete process: add an enquiry, assign an owner, set a reminder, update a deal and export the result. Ask each colleague to do their normal part. This is a proposed evaluation exercise, not a test we have already performed.
For every integration, check the exact connector, its minimum CRM plan, any third-party subscription and what information travels in each direction. An available API does not guarantee a ready-made accounting connection or an integration without extra costs.
HubSpot supports record exports across its plans, with export permissions required. A normal record export covers current properties and associations; notes and calls need other export routes. For any CRM, inspect the downloaded file rather than assuming that an export button preserves your whole history.
What UK businesses should check before importing data
Using a CRM does not automatically make your business GDPR compliant. The ICO explains that controllers retain responsibility when another organisation processes information for them. Review who can access records and how you will handle retention, deletion and requests from individuals. Where a supplier acts as your processor, check the required written contract. Read the provider’s data-processing and hosting information for the account you will actually use.
Choose the plan around your next hire
Shortlist two options and repeat the same small exercise in both. If your team already needs four logins or advanced automation, include paid options from the outset. Our startup CRM guide and HubSpot guide for UK startups cover the broader decision beyond free tiers.
