HubSpot Alternatives: Four CRMs to Compare Before Switching

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

The best HubSpot alternatives depend on what you are trying to change. A business that wants a clearer sales pipeline needs a different replacement from one trying to simplify its customer database or reduce the cost of marketing automation.

Our shortlist is Pipedrive for a sales-led workflow, Zoho CRM for a configurable business process, Freshsales for a combined sales-and-communication evaluation, and Capsule for a smaller relationship-management setup. These are candidates to investigate, not interchangeable replacements for every HubSpot product.

HubSpot alternatives by reason for switching

Choose two finalists that address the actual problem
Alternative Reason to evaluate Important check
Pipedrive You want sales opportunities and follow-ups to be the centre of daily work. The tier and add-ons needed for email, marketing and delivery.
Zoho CRM You need a more defined process and connections to other business functions. The required edition, setup effort and additional applications.
Freshsales You want to compare sales records with built-in communication options. Basic workflows versus sales sequences and any add-on costs.
Capsule You need focused contact, opportunity and client-work tracking. Contact limits, automation and the marketing tools you will retain.

Before choosing, identify which parts of HubSpot you use. Replacing CRM records is a different project from also replacing website forms, newsletters, customer support, reporting and billing. Our HubSpot free-versus-paid guide helps separate the underlying tools and account requirements.

Start by identifying the bill or workflow you want to improve

Write down three specific problems. Examples might be that colleagues rarely update opportunities, the proposed subscription exceeds budget, or important information is split between sales and delivery. Avoid a broad requirement such as “something easier”; describe the task that currently causes friction.

For a cost concern, identify the charge before researching replacements. HubSpot’s marketing-contact guidance explains that applicable paid plans have contact-tier rules separate from the number of people using CRM. A replacement should be priced for the equivalent marketing activity if that work still needs to happen.

If the problem is implementation rather than missing capability, a smaller configuration may deserve consideration alongside switching. Remove unused stages, clarify owners and decide what information is essential. Changing software without changing the process can carry the same confusion into a new account.

Pipedrive: evaluate for a focused sales workflow

Pipedrive’s plan overview presents Lite, Growth, Premium and Ultimate, with additional products including Campaigns and Projects. Evaluate the complete combination needed by your team, particularly if newsletters or post-sale delivery currently happen in HubSpot.

This is a promising direction when the central daily question is which opportunity needs attention next. Use a prospect with a delayed decision as your test case: who owns the follow-up, how is the next activity recorded, and where can a colleague find the latest conversation?

The limitation to resolve is breadth. If several departments depend on the current account, list their required tools and connections individually. A good sales interface does not settle the cost or suitability of replacing the rest of the customer journey.

Zoho CRM: evaluate for process and configuration

Zoho CRM Standard describes capabilities including workflows, cadences and multiple pipelines. Higher requirements should be checked against the appropriate edition rather than inferred from the overall product description.

Consider Zoho when you can describe how enquiries should move through a repeatable process and someone will own its configuration. For example, an agency could have separate routes for a one-off engagement and an ongoing service agreement, with different information collected before a proposal.

Ask who will maintain the fields, rules and connections when the business changes. Flexibility is useful only when the resulting setup remains understandable to the people using it. Include training and configuration work in the migration estimate rather than treating it as free.

Freshsales: evaluate communication and follow-up requirements

The Freshsales pricing page lists chat, email, phone and basic workflows under Growth, while Pro adds sales sequences. Its sequence guide also separates plan access from the permissions users need to create or view sequences.

This makes it a useful comparison when your replacement needs to connect sales records with repeated communication. Define whether “follow-up” means an individual reminder, a scheduled sales sequence or a marketing campaign; each should appear clearly in the proposed setup.

Confirm the product name as well as the plan. Freshsales, Freshsales Suite and other Freshworks applications are not labels to interchange casually. Request the exact product configuration demonstrated, its trial end conditions and the separate charges for any communication or AI services you intend to use.

Capsule: evaluate a smaller relationship-management setup

Capsule’s pricing page lists a free option for two users with 250 contacts, alongside paid tiers. Its Projects documentation describes tracking client work with tasks and related records. Check the relevant project and automation entitlements in your proposed subscription.

Capsule is worth examining when you primarily need to remember relationships, opportunities and agreed work. A consultant receiving referrals may value a reliable record of introductions and next steps more than a large collection of campaign functions.

Its small free-contact allowance can be unsuitable for an established database even when the team has only one or two people. Count the records you need to retain and price the appropriate paid tier. Also identify where marketing and support will live if those functions remain necessary.

Plan the move before cancelling your existing account

Run a migration rehearsal with fictional or appropriately controlled sample records. Include a company with multiple contacts, a deal with notes, a changed email address and an attachment. Verify ownership, relationships, dates and the information each colleague can access.

HubSpot’s record export contains current properties and associations; activities such as calls and notes have other export routes. Treat exporting contacts as one part of migration, not proof that the whole working history has been preserved.

Keep an inventory of forms, reports and integrations that depend on the old account. Assign responsibility for recreating or retiring each one. Test the replacement, resolve failures and understand the existing contract’s renewal and cancellation arrangements before deciding the changeover date.

Choose the alternative that solves your named problems while preserving the work that already goes well. If your requirements are still broad, our UK startup CRM comparison provides a starting framework. A successful switch should leave colleagues with a clearer process, not simply a different login.
