HubSpot Tasks: Organise Sales Follow-Up and Daily Work

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

Use HubSpot Tasks to give customer follow-up a named owner and a realistic deadline. Build a daily routine around the work you have promised.

Project boards, task cards and a shared timeline

Create a task someone can act on

From CRM → Tasks, choose Create task. Set its title, type, assignee, deadline, notes and record associations. HubSpot supports calling, emailing and general to-dos. Associate the relevant contact or deal: an unassociated task stays in the task list but does not appear on a record timeline. Task creation details.

Start each day with a useful view

The standard views include incomplete work, completed tasks, today’s deadlines, overdue work and upcoming tasks. They initially filter to your own assignments. Before interpreting an empty list, check the assignee, date and task-type filters. You can save a custom view and place its tab first to make it the default. HubSpot’s task-view guide.

Illustrative example: a consultancy has promised three proposal calls this week. The owner reviews overdue work first, then today’s calls. A missed call needs a decision about the next attempt, not an indefinite place at the bottom of the list. Keep the view small enough to review deliberately.

A task deadline is an internal commitment. If a client needs to choose an appointment, our HubSpot meeting scheduler guide covers that separate booking journey.

Use queues for shared batches of work

Task queues group and share work; they are not required simply to process tasks consecutively. HubSpot lists queues on Sales Hub and Service Hub Starter, Professional and Enterprise, with up to 20 queues per user. Under the tasks page’s Actions → Manage queues, create a queue, name it and choose access. Queue setup and limits.

For the consultancy, a shared Proposal follow-up queue could help a colleague cover work. Agree responsibility before contacting the customer to avoid competing replies. Name the queue for its purpose, not a temporary owner.

Only the creator or a Super Admin added to a shared queue can edit or delete it. Deleting a queue leaves its tasks in place. Adding tasks to queues through workflows or sequences has separate Sales Hub or Service Hub Professional/Enterprise requirements; do not assume a Starter queue includes those automations.

Choose reminders without relying on the digest alone

A task’s email reminder goes to its owner at the configured time. The weekday digest is a separate preference under Settings → Notifications → Tasks. Receiving it also requires completing at least three tasks in the previous 17 days. It does not replace individual reminders. Reminder and digest rules.

HubSpot prepares the digest by 06:00 and sends it at 08:00 in the user’s preferred time zone. Tasks created between those times are excluded that day, and no digest is sent when nothing is due. Check the live task view when planning the day, particularly after a colleague assigns new work.

Our recommendation is to reserve individual reminders for commitments that need a prompt at a particular time. Review the owner’s time zone and reminder setting together before treating an absent email as a missing task.

Understand what repeating a task means

Recurring tasks require an assigned Core, Sales or Service seat. Select Set to repeat and an interval. Another task is created when the previous one is completed, deleted or becomes overdue, retaining its title, assignee, notes and associations. Overdue work therefore does not necessarily stop the series. Recurring-task behaviour.

Complete the work, then complete the task

You can mark tasks complete individually or in bulk after performing the action. Consecutive completion in a view requires an assigned Sales Hub or Service Hub seat: select the tasks and start the batch. HubSpot opens the associated record and, for calls or emails, the relevant editor. Completion instructions.

If you cannot finish, skip or reschedule the task; skipping leaves it incomplete. When emailing from this flow, sending and completing is a distinct option. Ordinary Send or Send Later keeps the task incomplete. Check the result rather than assuming every email automatically clears its reminder.

Record what happened and decide the next step. Completing a proposal call does not establish that the deal was won. Our HubSpot deal pipelines guide helps keep commercial progress tied to evidence.

Review changes before clearing a backlog

Editing or deleting tasks requires task-edit permission. On the task list, preview an item, update its details and save. Bulk editing applies the same chosen property value to every selected task. Narrow the selection before changing several owners or deadlines. Editing guidance.

For an unexpected change, open the task on its associated record and inspect Actions → History. Check the trail before replacing the value. During an absence handover, confirm which tasks the covering colleague is taking and which promised dates remain achievable. Moving every overdue item to tomorrow does not resolve the underlying workload.

Keep follow-up accurate away from your desk

The HubSpot mobile app supports creating, viewing and completing tasks. New mobile tasks default to you; change the assignee when someone else owns the action. Add the relevant associations, then save. Its task area separates due and future work and allows filtering by type or queue. Mobile task instructions.

After a customer visit, capture the agreed next step while it is still clear. Before relying on the routine, try these illustrative checks with a harmless sample:

  • Create a mobile task, then inspect its owner, due date and associated record on desktop.
  • Open its record from the app and confirm the task gives enough context to act without reconstructing the conversation.
  • Complete the sample only after its action is finished, then check that it appears among completed work.
