HubSpot vs Pipedrive: Which CRM Fits Your Sales Workflow?

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

Choosing between HubSpot and Pipedrive comes down to where your team needs the most help. Our starting recommendation is Pipedrive for a business whose main job is moving active sales opportunities towards a decision. Shortlist HubSpot when the same customer record needs to connect sales with website enquiries, marketing and service work.

Neither recommendation settles the purchase. A two-person consultancy handling referrals has different requirements from an agency running campaigns and handing customers to an account-management team. Compare the smallest plans that can complete your actual process, including the work after a prospect replies.

HubSpot vs Pipedrive: the practical differences

A shortlist based on how the software will be used
Decision HubSpot Pipedrive
Starting point Consider for shared sales, marketing and customer context. Consider for an opportunity pipeline and a clear next action.
No-cost evaluation A free account has defined user and contact limits. Its advertised starting route is a time-limited trial of paid software.
Automated sales follow-ups Check the Sales or Service subscription and seat needed for sequences. Check Growth or above for email sync and automation.
After the sale Specify which team and tools will own onboarding. Price Projects access alongside the sales seats if you need it.
Cost comparison List seats, product tiers and relevant usage allowances. List seats, plan and any required add-ons.

These are decision prompts, not usability scores. Our CRM guide for UK startups covers a wider shortlist if you have not yet narrowed the choice to these two vendors.

Choose the pipeline before choosing the plan

Write down your stages in plain language: enquiry received, discovery completed, proposal sent, decision pending and won or lost. For each stage, identify the owner, the next action and the information required to move forward. A CRM should make those responsibilities visible without requiring colleagues to search through separate spreadsheets.

Pipedrive’s current plan comparison lists customisable pipelines and import/export across its tiers, with email sync from Growth upwards. Those specifics make Growth a useful evaluation point if connected email is essential; do not assume the entry plan includes it.

For HubSpot, start with the people who will use the record. Someone updating deals, a salesperson running sequences and a manager viewing information can have different access requirements. The seat documentation explains that a View-Only seat cannot edit records, and unassigning a paid seat does not itself remove it from billing.

During an evaluation, ask a colleague who did not configure the system to find an overdue opportunity and identify the next step. That is more revealing than counting dashboard widgets.

Free CRM and paid trials answer different questions

HubSpot currently allows two free users and 1,000 contacts. Pipedrive advertises a 14-day trial. One can be a continuing arrangement within its limits; the other is a purchasing evaluation with an end date.

A founder with one colleague should check whether the free HubSpot account covers normal work. A larger team should compare paid configurations immediately, even if its initial test uses fewer people. Otherwise the apparent saving disappears as soon as everyone receives a login.

Keep a separate list of features enabled temporarily during a trial. Ask the vendor which will remain on the intended plan. Our HubSpot free-versus-paid guide explains the main questions to resolve before upgrading.

Compare the exact follow-up you want to automate

“Automation” can mean creating a reminder, changing a field or sending a timed series of emails. Those are different requirements. Describe one sequence before checking feature tables: send a proposal follow-up, stop when the prospect replies, and create a call task if no decision arrives.

HubSpot’s sequence documentation specifies Sales Hub or Service Hub Professional/Enterprise, an appropriate seat and a connected individual work email address. A shared team inbox is not the sending account for sequences. That is a material plan boundary when follow-up emails are central to the purchase.

In Pipedrive, verify both the automation allowance and what happens when a contact responds. Avoid buying a tier because the word “automation” appears beside it. Ask a vendor demonstration to show the complete path, including its stopping condition and an error case.

Include delivery and marketing in the bill

A won deal is not necessarily the end of your workflow. A consultancy might need onboarding tasks, a kickoff meeting and a handover to the person doing the work. Pipedrive’s Projects billing guide says Projects is included on Premium and Ultimate; Lite and Growth use paid project seats. Price the people who actually need to create and edit projects.

For either vendor, list the systems you intend to retain: accounting, proposals, email campaigns and customer support. A connector’s existence is only the beginning. Confirm which records sync, the direction of changes and who resolves duplicates or failed transfers.

Compare annual totals that include the required users, add-ons and onboarding work. Keep annual commitments separate from monthly payment options. Use the currency and tax treatment in your own quotation instead of converting an advertised headline figure and assuming it is the final UK bill.

A scenario to use in your evaluation

Imagine a three-person agency that receives enquiries through its website, sends proposals and runs a small onboarding process. This is an illustrative scenario, not a customer result.

Create five fictional enquiries in each finalist. Move one to a proposal, leave another overdue, record a rejection and hand a won opportunity to delivery. Then ask whether everyone can see the history they need and whether the proposed subscription covers all three roles.

Choose Pipedrive if the pipeline and next-action process fit cleanly and the cost of delivery and other connections remains acceptable. Choose HubSpot if keeping the wider customer journey together removes meaningful handoffs and the required product tiers fit your budget. If neither completes the exercise without awkward workarounds, widen the shortlist before importing live records. Our HubSpot versus Zoho CRM comparison explores another option.
