Pipedrive vs Zoho CRM: Compare Sales Process, Plans and Limits

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

Pipedrive vs Zoho CRM is a useful comparison for a small business that wants more discipline in its sales process. We would begin with Pipedrive when the immediate problem is maintaining a clear pipeline and following up opportunities. We would give Zoho CRM particular attention when the process also needs structured approvals, business rules or inventory-related records.

Those are starting hypotheses to test. Neither vendor is automatically the cheaper choice once the required edition, team access and connected software are included. The right comparison uses a specific process and a realistic number of users, rather than the lowest price shown on each homepage.

Pipedrive vs Zoho CRM at a glance

How to build a like-for-like shortlist
Decision point Pipedrive Zoho CRM
Plan structure Lite, Growth, Premium and Ultimate. Free, Standard, Professional, Enterprise and Ultimate.
Early evaluation Evaluate a paid plan through the trial. Free can accommodate a small team within its limits.
Process requirements Check pipeline actions, email sync and automation allowances. Check workflow rules versus Blueprint process enforcement.
Delivery after a sale Consider Projects and its plan/seat requirements. Specify whether delivery stays in CRM or moves into another application.
Growth Inspect data, report and automation caps on the proposed tier. Inspect edition limits and the additional applications you need.

The plan names come from the current Pipedrive feature comparison and Zoho’s edition guide. Check your account’s actual edition when reading older tutorials; similar-looking plan names are not a reliable guide to current entitlements.

Use a small-business scenario to expose the differences

Imagine a five-person supplier selling equipment and support contracts. Two people handle enquiries, one approves unusual discounts and two organise delivery. This fictional example creates several separate requirements: follow-up reminders, an approval step, product details and a clear handover after the order is agreed.

A sales-only demonstration could look good in either product while missing half the work. Ask each vendor to show the same enquiry progressing to a won deal, then being handed to delivery with the agreed scope intact. Include a request for an exceptional discount so the approval requirement is visible.

Keep customer history and delivery tasks separate in your brief. Decide whether delivery staff need to edit sales information or only receive the agreed details. That affects both permissions and the number of paid users or application seats to budget for.

Pipeline automation and process enforcement differ

A reminder is useful when a salesperson occasionally forgets a call. It does not necessarily prevent an opportunity moving forward without mandatory information. Similarly, an email sequence can handle repeated follow-ups without providing a formal approval process.

Pipedrive lists email sync and automations from Growth. Zoho’s edition guide places Blueprint from Professional, alongside inventory and CPQ capabilities. Formal approval and review processes are listed under Enterprise; they are separate from Blueprint. Use these as starting plan boundaries, then ask whether your exact steps and exceptions fit the edition.

Zoho’s workflow documentation distinguishes conditions from actions such as tasks, field updates and notifications, with limits depending on edition. A workflow advertised as available does not imply an unlimited number of branches, actions or daily emails.

For the supplier example, require the demonstrator to show who can approve the discount, what happens if they are unavailable and where the decision is recorded. A manual workaround might be acceptable for an occasional exception. It becomes a different proposition when it is part of every sale.

Read usage limits before importing your history

Pipedrive’s usage guide separates allowances for leads/deals, custom fields, reports and automations. Some are per company, others per user or linked to seat count. Its current model also distinguishes contact records from lead/deal limits.

That means “we have a large customer database” is not enough information for a purchasing decision. Count contacts, companies, active opportunities and historical deals separately. Identify the custom fields and reports you genuinely need before importing every column from a long-lived spreadsheet.

Repeat this inventory against Zoho’s edition limits. Ask what happens at a limit: is additional capacity available, does the workflow stop, or must you upgrade? Keep the answer in writing with the quotation, especially when a migration will add several years of historical information.

Price the work after a deal is won

In Pipedrive, Projects is included on Premium and Ultimate; Lite and Growth use a paid add-on with project seats. This can change which tier makes sense for a team doing both sales and delivery.

For Zoho, specify whether your required handover uses CRM features, a separate project-management application or an existing tool. Do not treat a vendor’s range of products as proof that all of them are included in the CRM subscription.

The same principle applies to invoices. A CRM product catalogue or invoice record is not automatically the accounting system your finance team uses. Our UK invoicing software guide can help frame the accounting side of that decision. Map which system creates the final invoice and which one receives the payment status.

Compare the total cost of a workable setup

Request a quote for the same five-person example from both vendors, with the roles stated explicitly. Include any automation, approval, delivery and accounting-connection requirements. Ask about the billing period, onboarding work, optional add-ons and the cost of the next relevant tier.

A more capable edition can be sensible if it removes a necessary extra application. It can also be unnecessary if the team will never use the additional functions. Focus on a complete process rather than treating the higher plan as an automatic improvement.

Where a free option remains realistic, compare it through our guide to free CRM allowances and upgrade triggers. A five-person working team should plan beyond a small free-user allowance.

Which should you choose?

Prioritise Pipedrive if the key requirement is a visible opportunity pipeline, consistent follow-ups and a manageable handoff to delivery. Prioritise Zoho CRM if enforcing a more detailed process or linking operational records is central to the purchase.

Before committing, have a colleague repeat the main tasks without the person who configured the demonstration. Record any missing permission, field, report or connector. If the required subscription and administration remain unclear, resolve them before migrating real customer history. Our broader startup CRM comparison provides alternatives if neither finalist fits.
