HubSpot vs Zoho CRM: Compare Team Fit, Automation and Costs

Ad disclosure: we may earn a commission if you buy through links in this guide. How we are funded.

HubSpot and Zoho CRM are worth comparing when you want one place for customer records and need room for the business to grow. Our starting view is to examine HubSpot closely when sales and marketing need to share customer context. Examine Zoho CRM when a small team needs a configurable sales process and expects to connect several business functions.

The useful question is whether the required version will support your next stage at an acceptable total cost. A free account, a sales subscription and a wider software bundle are different purchases. This guide compares that decision for UK small businesses using published vendor documentation.

HubSpot vs Zoho CRM: where to start

Questions to resolve before comparing quotations
Your requirement HubSpot Zoho CRM
Three people need free access The current free user limit is two. Free supports up to three users.
A defined sales process Specify the required steps, automation and access. Check when workflow rules become insufficient and process enforcement is needed.
Marketing growth Model paid marketing-contact allowances separately from seats. Specify which CRM or connected marketing tools must be included.
Several business applications Check the products and integrations in the proposed subscription. Compare standalone CRM with an appropriate bundle, without assuming all apps are included.
Moving away later Test records and activity exports separately. Test the exact records, relationships and history your replacement would require.

For a wider comparison including other vendors, use our CRM shortlist for UK startups. If staying free is the overriding constraint, our free CRM limits guide focuses on that narrower choice.

The free user allowance can decide your starting point

HubSpot’s free tools currently cover two users and 1,000 contacts. Zoho CRM Free supports three users. If three colleagues each need to maintain records from day one, that is a practical reason to evaluate Zoho’s free edition.

It is not a reason to ignore the following year. List who will need access after the next hire, what each person must edit and whether they need specialised sales tools. A free starting allowance has limited value if an essential process immediately requires a paid edition.

Do not solve a user limit by sharing credentials. Individual access helps you understand who changed a record and lets you remove access when someone’s role changes. Ask your shortlisted provider to demonstrate the permissions available on the actual plan you intend to keep.

Compare process control rather than feature counts

A consultancy might need a contact record, a reminder and a proposal stage. A distributor might require an agreed sequence of qualification, approval and order information. The second process creates a different software requirement even if both businesses have the same number of employees.

Zoho’s edition guide places limited workflows in Free, cadences from Standard, and Blueprint process enforcement plus inventory/CPQ from Professional. Those are useful boundaries when building a shortlist; the feature names do not confirm that every required action or limit is included.

Write down an example exception. What happens if a salesperson wants to send a proposal before qualification is complete? Can the system require the missing information, merely remind them, or do neither on the proposed plan? Test the answer rather than treating all forms of automation as interchangeable.

Ask the same question of HubSpot. Begin with the outcome and ask which subscription achieves it. A familiar brand name is less useful than a clear explanation of who will maintain the rules after your initial setup.

Marketing needs its own cost calculation

The number of people using CRM and the number of contacts you market to are different quantities. HubSpot’s marketing-contact billing guide explains that applicable paid Marketing Hub accounts can move automatically to a higher contact tier when the allowance is exceeded, and that a lower count does not automatically reduce the tier mid-term.

That matters if you plan to import an old mailing list or begin collecting more enquiries. Identify which contacts should receive marketing, which need only a sales record and who can change those settings. Keep the model specific to your subscription, because legacy arrangements can differ.

For Zoho, define the marketing work you need before asking for a package: occasional sales follow-ups, newsletters, lead nurturing or customer journeys. Request the relevant CRM edition and any additional application together. Compare like-for-like sending and automation requirements rather than one vendor’s sales-only price with another vendor’s broader bundle.

Check the connections you will actually use

A business already using accounting, scheduling and support software should not assume the next CRM will replace them. Record the information each connection needs to carry: company name, contact owner, deal value, invoice status or support history.

Zoho’s Standard edition description includes Marketplace integrations and additional automation capabilities. That does not mean every external application or connector is included without a charge. Request its required edition, ownership, support route and any separate subscription.

For either CRM, decide which system is authoritative when a customer changes an address. A two-way connection without a clear ownership rule can spread incorrect data faster. Include an edit, a duplicate record and a disconnected account in your evaluation.

A useful evaluation for a small agency

Consider an illustrative agency with two people selling and a third coordinating work. Create a fictional enquiry, assign an owner, record a discovery meeting and produce a proposal-stage opportunity. Then have the coordinator find the agreed scope without asking the salesperson.

Next, change the customer’s email address and export the record. Check the result carefully: HubSpot’s record-export documentation distinguishes current properties and associations from activities such as notes or calls, which have separate export routes. Request the same clarity from Zoho before committing your history.

Choose the system whose required plan completes this process with clear ownership and manageable administration. HubSpot deserves the stronger look when the shared sales-and-marketing journey is the main priority. Zoho deserves the stronger look when a configurable operating process and its edition boundaries fit the team. Keep both options open if the demonstration reveals unresolved permissions, connector costs or migration gaps.
